Getting Started

System Requirements

Before installing BB Docs, ensure your system meets these requirements:

  • Operating System: Windows 10 or Windows 11 (64-bit)
  • Framework: .NET 8.0 Runtime (included in installer)
  • Memory: 4 GB RAM minimum (8 GB recommended)
  • Storage: 500 MB available disk space
  • Display: 1280x720 resolution or higher
  • Internet: Required for initial activation

Installation

Follow these steps to install BB Docs:

1 Download the installer from the BinaryBridge Client Portal

2 Run the installer (PDFStudio_Setup.exe)

3 Follow the installation wizard to complete setup

4 Launch BB Docs from the Start menu or desktop shortcut

💡 Tip: If prompted by Windows Defender SmartScreen, click "More info" and then "Run anyway" to proceed with installation.

First Launch

When you first launch BB Docs, you'll be prompted to activate your license. Enter your license key from the Client Portal to unlock all features.

Interface Overview

BB Docs features a clean, modern interface organized into several key areas:

Title Bar

The title bar displays the application name, document title, and quick access buttons for Undo, Redo, and Print.

Ribbon Tabs

The ribbon is organized into tabs for easy access to features:

  • Home: Common tools - text, annotations, shapes, redaction
  • Insert: Add images, signatures, and stamps
  • Page: Page operations - rotate, delete, extract, merge
  • Tools: Advanced features - OCR, compression, security
  • View: Display options - zoom, thumbnails, split view

The left side panel contains categorized tools:

Properties Panel

The right side panel shows properties for the selected tool including stroke color, width, opacity, and document information.

Page Thumbnails

The left panel can also display page thumbnails for quick navigation. Click any thumbnail to jump to that page.

Status Bar

The bottom status bar shows the current zoom level, page number, file size, and page dimensions.

Opening Files

Opening a PDF

There are several ways to open a PDF file:

  • Menu: Go to FileOpen
  • Shortcut: Press Ctrl + O
  • Drag & Drop: Drag a PDF file onto the application window
  • Double-click: Double-click a PDF file if BB Docs is set as default
  • Recent Files: Click the Recent dropdown in the ribbon
⚠️ Note: Some PDFs have restrictions that prevent editing. If a PDF is locked, you may only be able to view it without making changes.

Tabs & Split View NEW

🆕 New in Version 1.0.5: Work with multiple documents simultaneously using tabs and split view.

Working with Tabs

BB Docs now supports opening multiple documents in tabs:

  • Open multiple PDFs - each opens in a new tab
  • Click a tab to switch to that document
  • Right-click a tab for options: Close, Close Others, Close All, Open in New Window
  • Use Ctrl + Tab to cycle through tabs
  • Use Ctrl + W to close the current tab

Split View

Compare two documents side by side:

1 Open at least two PDF documents

2 Go to ViewSplit View or click the split view button

3 The first two documents will display side by side

4 Click the X on either pane to exit split view

💡 Tip: Split view is perfect for comparing document versions or referencing one document while editing another.

Touch & Stylus Support

BB Docs supports touch screens and stylus input:

  • Pinch to Zoom: Use two fingers to zoom in and out
  • Stylus Drawing: Use a stylus for precise freehand annotations and signatures
  • Swipe Navigation: Swipe to scroll through pages

Annotations

Highlight Tool

Highlight text to emphasize important content:

1 Select the Highlight tool from the annotation toolbar

2 Choose a color from the properties panel

3 Click and drag over the area you want to highlight

4 Release to apply the highlight

Underline & Strikethrough

Similar to highlighting, select the underline or strikethrough tool and drag over text to apply the markup.

Text Notes

Add comments and notes to your PDF:

1 Select the Text tool

2 Click on the location where you want to add the note

3 Type your comment in the text box

4 Click outside to finalize

Freehand Drawing

Draw freely on your PDF using the draw tool:

  • Select the Draw tool
  • Choose color and stroke width from properties
  • Click and drag to draw
  • Release to finish the stroke
✅ Pro Tip: Double-click any annotation to select it. You can then move, resize, or delete it. Press Delete to remove selected annotations.

Digital Signatures

Creating a Signature

BB Docs offers multiple ways to create signatures:

Drawn Signature

1 Select the Signature tool

2 Click on the document where you want to sign

3 In the signature dialog, draw your signature with mouse or stylus

4 Click Apply to place the signature

Typed Signature

1 Select the Signature tool

2 Choose Type in the signature dialog

3 Enter your name

4 Select a font style (script, formal, casual)

5 Click Apply

Certificate-Based Digital Signature NEW

For legally binding digital signatures:

1 Go to ToolsDigital Sign

2 Browse and select your certificate file (.pfx or .p12)

3 Enter the certificate password

4 Add signing reason and location (optional)

5 Choose whether to show a visible signature

6 Click Sign PDF

💡 Certificate Creation: If you don't have a certificate, BB Docs provides instructions for creating a self-signed certificate using Windows PowerShell.

OCR Text Extraction NEW

🆕 New in Version 1.0.5: Extract text from scanned documents and images using built-in OCR technology.

Using OCR Selection

1 Go to ToolsOCR Selection or select the OCR tool

2 Click and drag to draw a rectangle around the text you want to extract

3 Release the mouse button

4 The extracted text will appear in a dialog

5 Click Copy to copy to clipboard or Insert as Text to add to document

Best Practices for OCR

  • Ensure the document is not too tilted or skewed
  • Higher resolution scans produce better results
  • Good contrast between text and background improves accuracy
  • Zoom in for better selection accuracy on small text
⚠️ Note: OCR accuracy depends on the quality of the source image. Very low resolution or heavily stylized fonts may produce errors.

Redaction Tools NEW

Whiteout Tool

Cover content with a white rectangle:

1 Select Whiteout from the Home ribbon

2 Click and drag over the content to cover

3 A white rectangle will cover the area

Redact & Replace Tool

Cover content and add replacement text in one step:

1 Select Redact & Replace (or press R)

2 Click and drag over the content to redact

3 In the popup dialog, enter replacement text

4 Choose font, size, and color for the replacement text

5 Click Apply

🔒 Important: For permanent redaction, save your document and then use Save As Flattened. This permanently merges the redactions into the document. Without flattening, redactions may be removable.

Text & Shapes

Adding Text

To add new text to your PDF:

1 Select the Text tool

2 Click where you want to add text

3 Type your content

4 Use the properties panel to adjust font, size, and color

Adding Shapes

Insert shapes to highlight areas or create diagrams:

Available Shapes

  • Rectangle: Draw rectangular boxes
  • Circle/Ellipse: Draw circular shapes
  • Line: Draw straight lines
  • Arrow: Draw arrows for pointing

Shape Properties

  • Border Color: Color of the shape outline
  • Fill Color: Interior color (or transparent)
  • Border Width: Thickness of the outline
  • Opacity: Transparency level

Working with Images

Inserting an Image

1 Go to InsertImage or use the image tool

2 Browse and select an image file (PNG, JPG, BMP, GIF)

3 Click on the document to place the image

4 Resize by dragging the corner handles

5 Drag to reposition as needed

Supported Image Formats

  • PNG (recommended for logos and graphics)
  • JPEG/JPG (photos and complex images)
  • BMP (bitmap images)
  • GIF (simple graphics)

Form Filling

Interactive Forms

BB Docs automatically detects interactive form fields. When you open a PDF form:

  • Text Fields: Click to type text
  • Checkboxes: Click to check/uncheck
  • Radio Buttons: Click to select an option
  • Dropdown Menus: Click to select from list

Navigating Form Fields

Use Tab to move to the next field and Shift + Tab to move to the previous field.

Page Operations

Rotating Pages

To rotate pages:

1 Go to Page tab → Rotate Left or Rotate Right

2 The current page will rotate 90 degrees

Reordering Pages

Move pages within the document:

  • Ctrl + - Move current page up
  • Ctrl + - Move current page down
  • Ctrl + Home - Move to start
  • Ctrl + End - Move to end

Deleting Pages

1 Go to PageDelete Page

2 Confirm deletion

Extracting Pages

Save selected pages as a new PDF:

1 Go to PageExtract Pages

2 Specify page range

3 Choose destination and filename

Merging PDFs

Combine multiple PDFs into one:

1 Go to PageMerge PDFs

2 Add files using Add Files button

3 Arrange order using up/down arrows

4 Click Merge and save

PDF Compression NEW

🆕 New in Version 1.0.5: Reduce file size by compressing images and removing unnecessary data.

Compressing a PDF

1 Go to ToolsCompress PDF

2 View the current file size

3 Choose compression level:

  • Low: Best quality, smaller size reduction
  • Medium: Balanced quality and size (recommended)
  • High: Smallest size, lower quality

4 Select options:

  • Compress images: Reduce image quality/resolution
  • Remove metadata: Strip author, creation date, etc.
  • Remove bookmarks: Delete navigation bookmarks

5 Click Compress

Watermarks & Stamps

Adding a Text Watermark

1 Go to InsertWatermark

2 Enter watermark text (e.g., "CONFIDENTIAL", "DRAFT")

3 Configure appearance: font, size, color, opacity, rotation

4 Choose pages to apply

5 Click Apply

Using Stamps

Apply pre-made stamps to your document:

1 Go to InsertStamp

2 Choose from built-in stamps (APPROVED, DRAFT, CONFIDENTIAL, etc.)

3 Click on the document to place the stamp

Security & Encryption

Password Protection

Protect your PDF with a password:

1 Go to ToolsProtect PDF

2 Enable Require password to open document

3 Enter and confirm your password

4 Click Protect PDF and save

Permission Settings

Control what users can do with your PDF:

1 In the Protect PDF dialog, enable Restrict document permissions

2 Set a permissions password

3 Choose which actions to allow:

Saving & Exporting

Saving Your Work

  • Save: Ctrl + S - Save changes to current file
  • Save As: Ctrl + Shift + S - Save as a new file

Flattening Annotations

Flatten annotations to merge them permanently into the PDF:

1 Go to FileSave As Flattened

2 Choose filename and location

3 Click Save

⚠️ Note: Flattening is permanent. Once flattened, annotations cannot be edited. Always keep a backup if you may need to make changes later.

Exporting to Images

Export PDF pages as image files:

1 Go to FileExport as Images

2 Select page range

3 Choose format (PNG, JPG) and resolution

4 Select output folder

5 Click Export

Troubleshooting

PDF Won't Open

  • Ensure the file is a valid PDF document
  • Check if the file is corrupted (try opening in another viewer)
  • If password-protected, enter the correct password
  • Try restarting BB Docs

Application is Slow

  • Large PDFs with many pages may take longer to load
  • Close other applications to free up memory
  • Consider compressing the PDF to reduce size
  • Ensure your system meets the minimum requirements

Changes Not Saving

  • Ensure you have write permissions to the file location
  • Check if the PDF is read-only
  • Try using Save As to save to a different location

OCR Not Working

  • Ensure the selected area contains visible text
  • Try selecting a smaller, clearer area
  • Zoom in for better selection accuracy
  • Low quality scans may produce poor results

License Activation Issues

  • Ensure you have an active internet connection
  • Verify your license key is entered correctly
  • Check if your license has expired
  • Contact support if issues persist

Creating an Account

1 Go to bbdocs.binarybridge.ca

2 Click "Create Account"

3 Enter your name, email, and password

4 Check your email and click the verification link

5 Sign in and start editing PDFs

Language Support

BB Docs Cloud supports English and Arabic with full RTL support. Switch languages using the language icon on the dashboard, or navigate directly to bbdocs.binarybridge.ca/ar/ for Arabic.

After signing in, the dashboard displays all your documents stored in your cloud account.

Uploading a PDF

1 Click the "Upload" button on the dashboard

2 Select a PDF file from your device

3 Wait for the upload to complete — the document will appear in your list

4 Click on the document to open it in the editor

Creating a New Document

Click "New Document" to create a blank PDF, or choose from available templates (Pro plan and above).

Managing Documents

  • Delete: Click the delete icon next to a document
  • Download: Click the download icon to save a copy locally
  • Search: Use the search bar to find your documents
💡 Tip: All changes are auto-saved to your cloud account. No need to manually save while editing.

✏️ The Editor

When you open a document, the editor appears with a toolbar at the top and a page strip on the side.

Editor Layout

  • Toolbar (top): All editing tools — Select, Text, Highlight, Draw, Shapes, Images, Signature, Eraser
  • Properties bar: Appears below the selected tool — color, size, font, stroke width
  • Page strip (side): Thumbnails for quick page navigation
  • Canvas (center): The current PDF page for editing
  • "Done" button (top): Finish editing — save, export, or share

Navigation

  • Click any page thumbnail in the side strip to jump to it
  • Use ↑↓ buttons to reorder pages
  • Zoom in/out with + / - buttons or pinch gesture
  • Search button 🔍 to find text within the document

Select Tool

Click the Select tool (arrow) to select existing elements and move, resize, or delete them.

Text Tool

1 Choose the Text tool

2 Click where you want to place text on the page

3 Type your content

4 Use the properties bar to adjust font, size, and color

Text Box

Similar to the Text tool but with a visible border/background. Ideal for adding clearly defined notes or callouts.

Highlight Tool

Click and drag to highlight areas with a semi-transparent color. Choose the color from the properties bar.

Freehand Draw

Draw freely with mouse or stylus. Great for quick signatures, annotations, or handwritten notes. Adjustable color and stroke width.

Shapes

  • Line: Draw a straight line between two points
  • Arrow: Line with an arrowhead — perfect for pointing out details
  • Circle: Draw a circle or oval — great for circling content

All shapes support color and stroke width customization.

Image Insertion

1 Choose the Image tool

2 Select an image file from your device (PNG, JPG, GIF, WebP)

3 The image is placed on the page — click and drag to move or resize

Blackout (Content Redaction)

The Blackout tool covers content with a solid black rectangle. Use it to hide sensitive information before sharing.

Eraser

Click the Eraser tool, then click on any element you've added to delete it. Only works on added elements — cannot erase original PDF content.

Undo & Redo

Use the ↶ Undo and ↷ Redo buttons in the toolbar to reverse or reapply any action.

✍️ Signatures

Creating a Signature

1 Select the Signature tool from the toolbar

2 A signature dialog appears with two options:

  • Draw: Draw your signature with mouse or stylus
  • Type: Type your name and choose a signature font

3 Click "Apply" to place the signature on the page

4 Move or resize the signature as needed

Initials

The Initials tool works like the Signature tool but is designed for initials. Great for signing multiple pages.

💡 Note: Advanced digital signatures (certificate-based) are available only on the Business plan.

📋 Form Filling

Form Tools

  • Checkmark ✓: Place a checkmark anywhere — ideal for checkbox fields
  • Cross ✗: Place an X mark — for marking items as rejected or not applicable
  • Date: Inserts today's date automatically in a customizable format
  • Text: Type into form fields
💡 Tip: Use the Date tool to quickly fill date fields — it inserts the current date with a single click.

📑 Page Operations

Managing Pages

  • Navigate: Click any thumbnail in the page strip
  • Reorder: Use ↑↓ buttons to move pages up or down
  • Delete: Click the page delete button (🗑️)

Merging PDFs

1 Click the "Merge" button in the toolbar

2 Select additional PDF files from your device

3 Pages from the selected files are appended to the current document

Splitting Documents

1 Click the "Split" button in the toolbar

2 Choose the page range to extract

3 A new document is created with the selected pages

🔗 Sharing & Export

The "Done" Panel

When you finish editing, click the "Done" button to open the save and share panel:

Save as PDF

Downloads the edited document as a PDF file to your device with all edits baked in.

Share via Link

1 Click "Share" in the Done panel

2 A public link is generated for the document

3 Copy the link and share it — anyone with the link can view the document

Send via Email

1 Click "Email" (Business plan only)

2 Enter the recipient's email address

3 Add an optional message

4 Click "Send" — the PDF is delivered directly

💡 Note: Link sharing is available on all plans. Email sharing is available on Business plan only.

Managing Storage

You can monitor your storage usage from the dashboard. To free up space, delete documents you no longer need or download them first.

  • 📝 Summarize: Get a concise summary of the open document

  • 🌐 Translate: Translate the document between Arabic and English automatically
  • ✍️ Rewrite: Improve grammar, clarity, and professionalism while preserving the original meaning
  • 📋 Smart Fill: Detect empty or incomplete form fields and suggest values with confidence levels (high / medium / low)

Standalone Actions

  • ✨ Generate PDF: Describe the document you need — invoice, contract, report — and it will be created as a PDF
  • 💬 Chat: Ask any question about your document or about BB Docs features

Upgrading Your Plan

To upgrade: visit the pricing page or go to Settings in the dashboard. When you try to use a feature not available on your plan, an upgrade prompt will appear automatically.

🔧 Troubleshooting

File Won't Upload

  • Ensure the file is a valid PDF
  • Check if the file exceeds your storage limit
  • Make sure you haven't exceeded your monthly document limit
  • Try a smaller file or delete old documents to free space

Editor Not Loading

  • Clear your browser cache and cookies
  • Try a different browser (Chrome recommended)
  • Check your internet connection
  • Disable browser extensions that may interfere

Feature Locked

  • Merge and Split require Pro plan or higher
  • Digital Signatures and Email sharing require Business plan
  • An upgrade prompt will appear when you try to use locked features

Document Not Saving

  • Ensure you have a stable internet connection — saving is cloud-based
  • Check if you've exceeded your storage limit
  • Try signing out and back in
